1. Introduction
Welcome to OWT Sri Lanka.
These Terms and Conditions ("Terms") govern your access to and use of the OWT Sri Lanka website, together with any enquiries, quotations, bookings, purchases and travel services arranged through our website, email, telephone, WhatsApp, social media platforms or any other communication channel.
By accessing our website, requesting a quotation, making a booking, paying a deposit, making full payment, or travelling on any itinerary arranged by us, you acknowledge that you have read, understood and agreed to be legally bound by these Terms and Conditions.
If you do not agree with these Terms, you must not use our website or purchase any services offered by us.
These Terms apply to all customers, travellers, group leaders, agents, representatives and any person making a booking on behalf of others.

Throughout these Terms, "OWT Sri Lanka", "OWT", "we", "our", and "us" all refer to OWT Group (Private) Limited.
The words "Customer", "Traveller", "Passenger", "Guest", "You", and "Your" refer to any individual, family, company, organisation or representative making or participating in a booking.
3. Scope of Services
OWT Sri Lanka operates as an inbound Destination Management Company (DMC) providing travel-related services within Sri Lanka.
Depending on your booking, our services may include, but are not limited to:
- Tailor-made private tours
- Fixed itinerary tours
- Chauffeur-driven holidays
- Airport transfers
- Hotel and villa reservations
- Excursions
- Wildlife safaris
- Cultural tours
- Honeymoon packages
- Family holidays
- Luxury holidays
- Corporate travel
- Group tours
- Incentive travel
- MICE arrangements
- Transportation services
- Local guide services
- Attraction ticket reservations
- Train reservations
- Domestic travel arrangements
- Special interest tours
Certain services are provided directly by independent third-party suppliers including hotels, airlines, transport operators, safari providers, attraction operators and activity providers.
Where third-party suppliers are used, their own terms and conditions may also apply.
4. Eligibility
To make a booking with OWT Sri Lanka you must:
- Be at least 18 years of age; or
- Have legal authority to make a booking on behalf of all travellers included in the reservation.
The person making the booking confirms that:
- they are authorised to act on behalf of every traveller included in the booking;
- all travellers have accepted these Terms and Conditions;
- all information supplied is accurate and complete.
The lead traveller accepts responsibility for:
- communicating all booking information to every traveller;
- ensuring every traveller complies with these Terms;
- ensuring all travellers possess valid travel documentation.
5. Website Use
Our website is intended to provide information regarding Sri Lanka travel services offered by OWT Sri Lanka.
You agree that you will not:
- use the website for unlawful purposes;
- attempt to interfere with website security;
- upload malicious software;
- copy website content without permission;
- use automated systems to extract website data;
- impersonate another individual or organisation;
- submit false enquiries or fraudulent bookings;
- misuse our online payment facilities.
We reserve the right to suspend access to users engaging in unlawful or abusive activity.
6. Accuracy of Website Information
We make every reasonable effort to ensure that information published on our website is accurate at the time of publication.
However, travel information changes frequently.
Accordingly:
- hotel availability may change;
- room categories may change;
- attraction opening hours may change;
- entrance fees may change;
- weather conditions may affect itineraries;
- government regulations may change;
- transportation schedules may change;
- prices may change before booking confirmation.
Photographs displayed on the website are intended as representative images only.
Actual rooms, vehicles, scenery or facilities may differ.
Wildlife sightings shown in photographs or promotional material are illustrative only and are never guaranteed.
7. Travel Quotations
All quotations provided by OWT Sri Lanka are:
- subject to availability;
- subject to confirmation;
- non-binding until accepted by us;
- based on information available at the time of preparation.
Unless otherwise stated, quotations remain valid for 14 calendar days from the date of issue.
OWT Sri Lanka reserves the right to revise quotations before confirmation due to:
- hotel rate revisions;
- supplier price increases;
- seasonal pricing;
- exchange rate fluctuations;
- fuel surcharges;
- tax changes;
- government-imposed charges;
- changes in entrance fees;
- transport cost increases;
- unforeseen supplier adjustments.
No booking shall be deemed confirmed until written confirmation has been issued by OWT Sri Lanka.
8. Booking Confirmation
A booking becomes confirmed only when ALL of the following have occurred:
- OWT Sri Lanka has confirmed availability;
- the required deposit or full payment has been received;
- written confirmation has been issued by OWT Sri Lanka.
Until written confirmation has been provided, availability cannot be guaranteed.
Verbal discussions, WhatsApp conversations, social media messages or preliminary quotations do not constitute a confirmed booking.
9. Booking Deposits
To secure travel arrangements, OWT Sri Lanka generally requires a booking deposit.
Unless otherwise stated:
- 30% of the total booking value is payable as a deposit.
Certain suppliers may require larger deposits.
These include:
- luxury hotels;
- peak-season reservations;
- train tickets;
- airline tickets;
- villas;
- charter transport;
- special event bookings;
- group reservations.
Where supplier policies require higher deposits, those requirements shall apply.
The required deposit amount will always be communicated before confirmation.
Receipt of a deposit does not guarantee availability until written confirmation has been issued.
10. Payment Schedule
Unless otherwise agreed in writing:
- 30% deposit is payable at booking.
- The remaining balance must be paid 30 days prior to arrival in Sri Lanka.
For bookings made within 30 days of arrival:
100% payment is required immediately.
Failure to make payments by the specified due dates may result in cancellation of the booking without liability on the part of OWT Sri Lanka.

11. Accepted Payment Methods
We may accept payment through one or more of the following methods:
- Credit Cards
- Debit Cards
- Secure Online Payment Gateway
- Bank Transfer
- Telegraphic Transfer (TT)
- Approved Digital Payment Platforms
Available payment methods may vary depending on the customer's country of residence.
OWT Sri Lanka reserves the right to decline any payment method at its discretion.
12. Currency
Prices may be quoted in:
- United States Dollars (USD)
- Sri Lankan Rupees (LKR)
- Australian Dollars (AUD)
- Indian Rupees (INR)
- British Pounds (GBP)
- Euros (EUR)
The currency shown on quotations or invoices shall be the payable currency unless otherwise agreed.
Where currency conversion is required, exchange rates applied by banks or payment providers may differ from indicative rates displayed on our website.
OWT Sri Lanka is not responsible for differences arising from exchange rate movements, foreign transaction fees or bank conversion charges.
13. Taxes and Government Charges
Unless specifically stated otherwise, quoted prices include applicable Sri Lankan taxes known at the time the quotation is prepared.
If taxes, government levies, tourism charges or mandatory fees are introduced or increased before travel commences, OWT Sri Lanka reserves the right to adjust the booking price accordingly.
Customers will be informed of any such adjustments before the balance payment is due.
14. Bank Charges and Payment Fees
Unless expressly stated otherwise:
- customers are responsible for all bank transfer fees;
- intermediary bank charges;
- overseas remittance costs;
- currency conversion charges;
- credit card processing fees, where applicable.
OWT Sri Lanka must receive the full invoiced amount.
Any deductions made by banks or payment providers must be settled by the customer.
15. Fraud Prevention
To protect both our customers and our business, OWT Sri Lanka reserves the right to request reasonable verification before accepting or processing payments.
This may include:
- proof of identity;
- passport copy;
- cardholder verification;
- confirmation of billing address;
- additional documentation reasonably required to prevent fraud.
Where fraudulent activity is suspected, OWT Sri Lanka may:
- refuse the booking;
- suspend processing;
- cancel the reservation;
- report the matter to relevant authorities;
- cooperate with banks, payment processors and law enforcement agencies.
16. Booking Amendments Requested by the Customer
After a booking has been confirmed, any request to amend, modify or change the booking must be submitted in writing by the lead traveller.
While OWT Sri Lanka will make every reasonable effort to accommodate amendment requests, changes cannot be guaranteed and remain subject to availability and acceptance by the relevant suppliers.
Amendments may include, but are not limited to:
- Travel dates
- Passenger names
- Hotel category or accommodation
- Room type
- Vehicle type
- Tour itinerary
- Activities or excursions
- Flight details (where arranged by us)
- Arrival or departure times
- Pickup locations
- Additional nights
- Reduction in services
- Special requests
Amendment requests may result in:
- Additional supplier charges;
- Increased transport costs;
- Hotel rate differences;
- Administrative fees;
- Revised taxes or government charges.
Where amendment costs are incurred by OWT Sri Lanka or its suppliers, such costs shall be payable by the customer before the amendment is confirmed.
OWT Sri Lanka reserves the right to decline amendment requests where operationally impractical or commercially unreasonable.
17. Cancellation by the Customer
All cancellation requests must be made in writing by the lead traveller.
The cancellation date shall be the date on which written notice is received by OWT Sri Lanka.
Refunds, where applicable, shall be calculated in accordance with our published Cancellation & Refund Policy, which forms part of these Terms and Conditions.
Any non-refundable costs already paid to hotels, transport providers, airlines, attractions or other suppliers shall be deducted from any refund due.
Cancellation charges may differ for:
- Luxury hotels;
- Peak season bookings;
- Airline tickets;
- Train reservations;
- Group bookings;
- Villas;
- Special event packages;
- Promotional offers.
Where supplier cancellation charges exceed our standard cancellation policy, the supplier's actual non-recoverable charges shall apply.
18. No-Show Policy
Failure to arrive for any confirmed service without prior written notification shall constitute a "No Show."
No refunds shall be payable for:
- Missed airport pickups;
- Missed transfers;
- Hotel accommodation;
- Sightseeing tours;
- Safari excursions;
- Attraction tickets;
- Chauffeur services;
- Meals;
- Activities;
- Any unused portion of the itinerary.
If a traveller fails to arrive on the scheduled date, OWT Sri Lanka is under no obligation to rearrange services at no additional cost.
Any rebooking shall be subject to supplier availability and additional charges.
19. Changes Requested During Travel
If customers request itinerary changes after travel has commenced, OWT Sri Lanka will make reasonable efforts to accommodate such requests.
However, changes remain subject to:
- Availability;
- Operational feasibility;
- Supplier acceptance;
- Additional costs.
Examples include:
- Hotel upgrades;
- Additional nights;
- Alternative destinations;
- Vehicle changes;
- Route modifications;
- Extra sightseeing;
- Additional airport transfers.
All additional costs must be settled before the revised services are confirmed unless otherwise agreed in writing.
20. Changes Made by OWT Sri Lanka
Travel arrangements are planned several months in advance.
Occasionally changes become necessary due to circumstances beyond our reasonable control.
OWT Sri Lanka reserves the right to modify:
- Hotels;
- Vehicles;
- Routes;
- Timings;
- Activities;
- Attractions;
- Guides;
- Restaurants;
- Service providers.
Such changes may occur because of:
- Hotel overbookings;
- Maintenance work;
- Safety concerns;
- Supplier operational issues;
- Government directives;
- Public holidays;
- Weather conditions;
- Road closures;
- Natural disasters;
- Local events;
- Civil disturbances.
Where possible, customers shall be notified promptly.
21. Hotel Substitutions
Hotels displayed on our website or quotations are subject to availability at the time of confirmation.
Where the originally confirmed hotel becomes unavailable due to circumstances beyond our control, OWT Sri Lanka reserves the right to substitute the accommodation with another hotel of a similar or higher standard.
Such substitutions may occur due to:
- Overbooking;
- Maintenance;
- Operational closure;
- Safety concerns;
- Government restrictions;
- Supplier default;
- Force majeure events.
Hotel substitutions shall not entitle the customer to compensation where a comparable or higher standard accommodation is provided.
Room layouts, views, furnishings and facilities may vary between properties.
22. Hotel Check-In and Check-Out
Unless otherwise specified by the hotel:
- Standard check-in is from approximately 2:00 PM.
- Standard check-out is by approximately 12:00 Noon.
Early check-in and late check-out cannot be guaranteed unless specifically confirmed and may incur additional charges.
Customers arriving early or departing late may need to reserve additional accommodation if immediate room access is required.
23. Transportation Services
Transportation arrangements are provided according to the confirmed itinerary.
Vehicles may include:
- Cars;
- SUVs;
- Vans;
- Mini coaches;
- Coaches;
- Luxury vehicles.
Vehicle type depends upon:
- Passenger numbers;
- Luggage requirements;
- Road conditions;
- Availability.
Illustrated vehicle photographs are representative only.
Equivalent vehicles may be provided where necessary.
24. Driver Working Hours
Standard chauffeur services generally operate between:
08:00 AM and 06:00 PM
Daily schedules may vary depending on the confirmed itinerary.
Extended driving hours, late-night transfers, early morning departures or additional mileage requested by customers may incur supplementary charges.
Drivers shall not be required to operate vehicles in breach of Sri Lankan road safety regulations.
25. Attraction Closures
Certain attractions may occasionally be closed because of:
- Public holidays;
- Religious observances;
- Government regulations;
- Conservation programmes;
- Maintenance;
- Weather conditions;
- Operational decisions.
OWT Sri Lanka shall not be liable for attraction closures outside our reasonable control.
Where practical, suitable alternatives may be offered.
26. Wildlife Safaris
Wildlife excursions operate within protected national parks where animals roam freely in their natural habitats.
Accordingly:
- Wildlife sightings cannot be guaranteed.
- Animal behaviour is unpredictable.
- Weather conditions influence sightings.
- Park authorities may restrict access.
No refunds shall be payable where expected wildlife is not observed.
Customers must comply with all park regulations and instructions issued by guides, drivers and park authorities.
27. Train Reservations
Train travel, including scenic routes such as Kandy–Ella and Ella–Nanu Oya, is subject to the policies and availability of Sri Lanka Railways.
Reserved seating is limited and cannot be guaranteed until officially confirmed.
If reserved seats are unavailable, OWT Sri Lanka may offer one of the following alternatives:
- Unreserved travel;
- Alternative class of travel;
- Alternative train service;
- Private road transfer;
- Revised itinerary.
No compensation shall be payable where reserved seating cannot be secured due to railway limitations.
28. Flights and Airline Services
Where OWT Sri Lanka assists with domestic or international flight bookings, airline services remain subject to the terms and conditions of the relevant airline.
OWT Sri Lanka shall not be responsible for:
- Flight delays;
- Flight cancellations;
- Schedule changes;
- Missed connections;
- Denied boarding;
- Airline operational decisions;
- Lost or delayed baggage.
Any airline compensation shall be governed solely by the airline's applicable policies and legal obligations.
29. Third-Party Suppliers
OWT Sri Lanka acts as an organiser and intermediary for various independent suppliers.
These suppliers may include:
- Hotels;
- Airlines;
- Rail operators;
- Restaurants;
- National parks;
- Transport providers;
- Activity operators;
- Cruise operators;
- Attraction managers.
While OWT Sri Lanka exercises reasonable care in selecting reputable suppliers, we do not own or control these independent businesses.
Each supplier remains responsible for the delivery of its own services.
30. Special Requests
Customers may submit special requests including:
- Connecting rooms;
- Twin or double bedding;
- Dietary requirements;
- Wheelchair assistance;
- Child seats;
- Anniversary arrangements;
- Honeymoon amenities;
- Birthday celebrations;
- Accessible facilities.
OWT Sri Lanka will communicate such requests to the relevant suppliers.
However, special requests are not guaranteed unless specifically confirmed in writing.
Failure of a supplier to fulfil a special request shall not constitute a breach of contract by OWT Sri Lanka.
31. Tour Itinerary Changes
Travel itineraries are carefully planned but may require modification due to operational circumstances.
Reasons for itinerary changes include:
- Weather conditions;
- Road closures;
- Traffic congestion;
- Flooding;
- Landslides;
- Public demonstrations;
- Government restrictions;
- Supplier issues;
- Safety considerations.
OWT Sri Lanka reserves the right to alter the sequence of sightseeing, substitute attractions or modify travel routes where reasonably necessary.
Such changes shall not constitute a material breach of contract provided the overall value of the tour is substantially maintained.
32. Unused Services
No refunds shall be provided for services voluntarily not used by the customer.
Examples include:
- Hotel nights;
- Meals;
- Airport transfers;
- Excursions;
- Entrance tickets;
- Vehicle services;
- Safari drives;
- Guide services;
- Domestic transport.
Unused services cannot generally be refunded because OWT Sri Lanka remains contractually liable to its suppliers.
33. Customer Delays
Customers are responsible for arriving punctually for all scheduled services.
OWT Sri Lanka shall not be liable for losses arising from customer delays including:
- Missing scheduled departures;
- Missing attraction entry times;
- Late airport arrivals;
- Failure to provide accurate flight information;
- Delayed immigration clearance;
- Lost baggage causing itinerary disruption.
Where additional transport or accommodation becomes necessary due to customer delay, all associated costs shall be borne by the customer.
34. Passports, Visas and Travel Documentation
Every traveller is solely responsible for ensuring that they possess all valid travel documentation required for their journey.
This includes, but is not limited to:
- A valid passport with sufficient validity beyond the intended travel period;
- Any required visas, Electronic Travel Authorisations (ETA) or other entry permits;
- Return or onward travel documentation where required;
- Transit visas for connecting destinations;
- Vaccination certificates or health documentation where required by applicable authorities;
- Any other documentation required by immigration, customs or border control authorities.
OWT Sri Lanka may provide general information regarding visa or entry requirements as a courtesy. Such information is provided for guidance only and should not be relied upon as legal or official advice.
Visa regulations may change without notice.
Travellers must verify all entry requirements directly with the relevant embassy, consulate or immigration authority before departure.
OWT Sri Lanka accepts no responsibility for:
- Refused visas;
- Delayed visa processing;
- Incorrect visa applications;
- Expired passports;
- Denied boarding by airlines;
- Refused entry by immigration authorities;
- Financial losses arising from incomplete or invalid travel documents.
No refund shall be payable where travel cannot proceed due to documentation issues attributable to the traveller.
35. Travel Insurance
OWT Sri Lanka strongly recommends that every traveller obtains comprehensive travel insurance before commencing travel.
Travel insurance should provide adequate cover for:
- Trip cancellation;
- Medical expenses;
- Emergency evacuation;
- Personal accident;
- Loss or theft of baggage;
- Loss of personal belongings;
- Flight delays;
- Travel disruption;
- Personal liability;
- Adventure activities where applicable.
Customers are responsible for ensuring that their insurance policy provides suitable coverage for their individual circumstances.
Failure to obtain appropriate insurance shall be entirely at the traveller's own risk.
OWT Sri Lanka shall not be responsible for losses that would ordinarily be recoverable under a travel insurance policy.
36. Medical Conditions and Fitness to Travel
Travellers are responsible for ensuring that they are medically fit to undertake the booked itinerary.
Customers should disclose any medical conditions that may reasonably affect their ability to participate in the tour or require special assistance.
This includes, without limitation:
- Heart conditions;
- Respiratory illnesses;
- Diabetes;
- Mobility limitations;
- Severe allergies;
- Pregnancy;
- Recent surgery;
- Mental health conditions that may affect travel;
- Any condition requiring regular medical treatment.
Failure to disclose relevant medical information may affect our ability to provide suitable arrangements.
OWT Sri Lanka reserves the right to decline participation in activities where doing so is reasonably necessary for the safety of the traveller, other participants or service providers.
37. Dietary Requirements and Allergies
Customers must inform OWT Sri Lanka in writing of any dietary requirements, food allergies or intolerances before travel.
Whilst reasonable efforts will be made to communicate such requirements to hotels, restaurants and suppliers, OWT Sri Lanka cannot guarantee that meals will be entirely free from allergens or cross-contamination.
Travellers remain responsible for verifying food ingredients before consumption.
OWT Sri Lanka accepts no liability for allergic reactions or dietary issues arising from third-party food providers.
38. Accessibility and Special Assistance
Customers requiring wheelchair access, mobility assistance or other accessibility arrangements should notify OWT Sri Lanka at the time of booking.
We will make reasonable efforts to arrange suitable services where available.
However, accessibility standards vary throughout Sri Lanka and certain attractions, heritage sites, national parks and transportation providers may have physical limitations.
Special assistance remains subject to supplier availability and local infrastructure.
39. Travelling with Children
Parents or legal guardians remain solely responsible for the supervision, safety and conduct of children travelling under their care.
Child seats, cots and other child-related facilities are subject to availability unless confirmed in writing.
Certain activities may have minimum age, height or safety restrictions imposed by suppliers.
OWT Sri Lanka reserves the right to decline participation in activities where safety requirements are not met.
40. Traveller Conduct
All travellers are expected to behave respectfully towards:
- Other travellers;
- Drivers;
- Tour guides;
- Hotel staff;
- Local communities;
- Religious institutions;
- Wildlife;
- Government authorities.
Customers must comply with all applicable laws and regulations of Sri Lanka.
The following behaviour is strictly prohibited:
- Violent or abusive conduct;
- Harassment or discrimination;
- Damage to property;
- Illegal drug use;
- Excessive intoxication affecting the safety of others;
- Dangerous behaviour;
- Possession of prohibited items;
- Conduct that places other persons at risk.
Where such behaviour occurs, OWT Sri Lanka reserves the right to terminate services immediately without refund.
Any costs arising from such termination shall be the responsibility of the customer.
41. Damage to Property
Travellers are responsible for any loss or damage caused by them to:
- Hotels;
- Vehicles;
- Attractions;
- Restaurants;
- Equipment;
- Third-party property.
Customers shall indemnify OWT Sri Lanka against claims resulting from damage caused through their negligence or misconduct.
42. Health and Safety
Customers must comply with all safety instructions provided by:
- Drivers;
- Tour guides;
- Hotels;
- Activity providers;
- National park authorities;
- Government officials.
Failure to comply with safety instructions may result in participation being refused without refund.
Travellers participate in activities at their own risk unless otherwise provided by law.
43. Force Majeure
OWT Sri Lanka shall not be liable for failure to perform or delay in performing any obligation where such failure results from events beyond our reasonable control.
Such events include, but are not limited to:
- Natural disasters;
- Floods;
- Earthquakes;
- Cyclones;
- Landslides;
- Epidemics;
- Pandemics;
- Public health emergencies;
- War;
- Terrorism;
- Civil unrest;
- Government restrictions;
- Curfews;
- Airport closures;
- Airline operational disruptions;
- Labour disputes;
- Power failures;
- Fuel shortages;
- Acts of God;
- Any other unforeseeable event beyond reasonable control.
Where a Force Majeure event occurs, OWT Sri Lanka shall make reasonable efforts to:
- Rearrange services;
- Modify itineraries;
- Offer alternative arrangements where practicable.
Refunds, if any, shall be limited to amounts recoverable from suppliers after deduction of all non-recoverable costs.
OWT Sri Lanka shall not be liable for consequential losses arising from Force Majeure events.
44. Limitation of Liability
To the maximum extent permitted by applicable law, OWT Sri Lanka's liability for any claim arising from a booking shall be limited to the total amount paid by the customer for the affected travel services.
OWT Sri Lanka shall not be liable for:
- Indirect losses;
- Consequential losses;
- Loss of profits;
- Loss of enjoyment;
- Missed business opportunities;
- Emotional distress;
- Airline delays;
- Government actions;
- Supplier failures beyond our reasonable control.
Nothing in these Terms excludes liability where exclusion is prohibited by law.
45. Personal Belongings
Travellers are responsible for safeguarding their own personal belongings at all times.
OWT Sri Lanka accepts no responsibility for:
- Lost luggage;
- Stolen items;
- Forgotten belongings;
- Damaged personal property;
- Cash;
- Jewellery;
- Electronic devices;
- Passports.
Customers should report any loss immediately to local authorities and their travel insurer.
46. Photography and Marketing
From time to time, photographs or videos may be taken during tours for promotional purposes.
OWT Sri Lanka will only use identifiable photographs or videos with the traveller's prior consent.
Customers who do not wish to appear in promotional material should notify OWT Sri Lanka in writing before travel.
47. Customer Complaints
If a traveller experiences any issue during their holiday, they must notify OWT Sri Lanka as soon as reasonably possible so that we have an opportunity to investigate and, where appropriate, resolve the matter during the trip.
Complaints submitted only after completion of travel may limit our ability to investigate.
Formal written complaints should be submitted within 14 days of the completion of travel and include:
- Booking reference;
- Traveller name;
- Description of the issue;
- Supporting photographs or documents, where available.
OWT Sri Lanka will acknowledge receipt of the complaint and endeavour to respond within a reasonable timeframe.
48. Customer Responsibility to Mitigate Loss
Customers are expected to take reasonable steps to minimise any loss or inconvenience that may arise during travel.
Failure to provide OWT Sri Lanka with a reasonable opportunity to rectify a problem may reduce or eliminate any entitlement to compensation or refund.
49. Indemnity
